Booking -Terms & Conditions
Please be advised if you do not adhere to the Terms & Conditions regarding Driver’s Age, Payments, Driving Licences & history, Identification Requirements and Rental Payment Terms when collecting your vehicle, our Cancellation Policy will be enforced. Should you be unable to fulfil the stated ID Requirements please contact your renting location to discuss options prior to making a booking.
Please note all payments/charges/refunds are processed in Qatar Ryals (QAR). Gulfcar Rent a Car cannot be held responsible for fluctuations in exchange rates or for losses which may arise due to changes in currency exchange rates.
- Servicing
If service is required due to mileage or an electronic notification display on the vehicle to advise a service is due, it is your responsibility to contact your renting location to advise the vehicle requires servicing. If a service is missed during your rental a penalty charge will be applied, please see below, and check with the location for more information.
Penalties for losing warranty due to missing service / Maintenance.
- Economy to Standard – 2000 QAR
- Full size, MPVs and minibuses – 3500 QAR
- Luxury, Prestige, and premium vehicles – 5000 QAR
- Luxury 4×4 and Prestige trucks and 4×4 – 5000 QAR
- Panel Vans and Pickups – 3500 QAR
- Management Warning Lights
Warning lights must be notified to your renting location immediately. Failure to do so will result in a QAR 1000 penalty charge being applied.
- Road Sise assistance
In the event of an Accident or Incident please call the roadside assistance on +974 4488 4088.
- Booking Cancellations
Reservations made via the Gulfcar web site are at special rates, which reflect our Cancellation and No-show policies.
- Reservations confirmed and pre-paid online.
If you cancel your pre-paid reservation within 24 hours of placing the booking, and the pickup date is more than 48 hours from the time the booking is made, Gulfcar will issue a full refund.
If you cancel your reservation more than 24 hours from time of making the booking, and more than 48 hours from the pickup date & time, we will issue a partial refund with deduction of 10%.
All bookings made and prepaid for the following 48 hours are nonrefundable.
All bookings cancelled less than 48 hours from the pickup date and time are non-refundable.
Please note, if appropriate I.D., the necessary payment/deposit is not produced at time of pick up, or the Terms and Conditions are not adhered to in any way, and the rental cannot proceed, no refund will be made.
Cancellations may be made contacting our locations directly over email or the “contact us” link on this webpage, and a cancellation number will be emailed to you – please retain this for your records.
NB: No cancellations can be made after the rental start date & time.
- Reservations confirmed online but paid on arrival/pick up.
If you cancel your “pay on arrival” reservation within 24 hours of placing the booking and the pickup date is more than 48 hours from the time the booking is made, Gulfcar will issue a full refund.
If you cancel your reservation more than 24 hours from time of making the booking and more than 48 hours from the pickup date & time, we will issue a partial refund with deduction of 10%.
All bookings made and prepaid for the following 48 hours are subject to a one-day rental charge.
Cancelations after pickup date and time: If you cancel after this time, the Gulfcar location may charge your credit card in accordance with the agreement made at the time of confirmation, subject to a maximum amount equal to the value of the hire.
- Reservations confirmed offline by the Gulfcar location.
You may cancel your reservation at any time up to 48 hours before the check-out time without charge. Cancellation should be made directly with the Gulfcar location (by telephone or email).
All bookings made and / or cancelled on 48 hours before the pickup date and time are subject to a one-day rental charge.
If you cancel after pickup date & time, the Gulfcar may charge your credit card in accordance with the agreement made at the time of confirmation, subject to a maximum amount equal to the value of the hire.
- If you do not collect your vehicle (no show):
- Reservations confirmed and pre-paid online.
Unless you have cancelled your reservation in accordance with the above terms, if you do not collect your vehicle at the time specified on the prepaid rental voucher, no refund will be made.
The Gulfcar location will, however, hold your rental vehicle available for you for four working hours after the time of the reservation. (unless this is out of the renting location’s opening hours)
- Reservations confirmed online but paid on pick up
Unless you have cancelled your reservation in accordance with the above terms, if you do not collect your vehicle at the time specified on the prepaid rental voucher, no refund will be made.
The Gulfcar location will, however, hold your rental vehicle available for you for four working hours after the time of the reservation. (unless this is out of the renting location’s opening hours)
- Reservations confirmed vis email, Phone or in person by the Gulfcar location
If you do not arrive to collect your vehicle at the time specified in the Reservation confirmation, and you do not let the Gulfcar location know that you are cancelling your hire as above, the Gulfcar location may charge your credit or debit card in accordance with the agreement made at the time of confirmation, subject to a maximum amount equal to the value of the hire.
- Vehicles images
Vehicle images are examples only. Specific models or colours cannot be guaranteed.
- Availability
Gulfcar works with a wide range of Manufacturers and, as such, we are unable to display every available vehicle within each category on our website. Our policy is to display the most appropriate vehicle within that particular category at any point in time. The definition of ‘Or Similar’ is the provision of a vehicle of comparable size, body type and rental value to the vehicle being displayed. Please note, due to the number of Manufacturers we deal with, we may supply a vehicle from an alternative manufacturer.
In the unlikely event that a vehicle from the category booked is unavailable, Gulfcar will supply a Free Upgrade.
A “Free Upgrade” is defined as a vehicle which has a greater rental value and/or size than the category booked.
- Price & Mileage Allowance
Rates include fully comprehensive insurance (subject to the damage excess liability of the vehicle), any taxes applicable & Roadside Assistance. Kilometres allowance is limited on all hires. Hires of 30 days and over (including hires of 1-29 days which extend) will be limited to 3,000 free kms per 30-day period or part thereof.
Vehicles are subject to limited kilometres as follows:
- Rental duration of 1-14 days is limited to 150 kms per day.
- Rental duration of 15-21 days and over is limited to 130 kms per day.
- Rental duration of 22 to 30 days and over is limited to three thousand kms per 30 days. Rentals over 30 days will be capped at one hundred kilometres per day.
Excess miles will be charged as follows:
• All vehicles, excluding Luxury & Prestige, @ 0.75 QAR + tax per km.
• Luxury & Prestige will be charged, @ 1.00 QAR + tax per km.
- Driver Age
All drivers must be aged twenty-one (21) or over. Drivers aged 21-24 may only rent cars up to Full size category and Vans.
Drivers of vehicle categories Prestige & Luxury must be aged twenty-five (25) or over.
- Insurance & Damage Liability
Our vehicles are covered by a fully comprehensive insurance policy and is subject to a damage liability which varies according to vehicle size.
- Economy to Standard MPVs – 1000 QAR
- Full size, Full size MPVs and minibuses – 1500 QAR
- Luxury, Prestige, and premium vehicles – 3000 QAR
- Luxury 4×4 and Prestige trucks and 4×4 – 5000 QAR
- Panel Vans and Pickups – 1500 QAR
Damage Liability Reduction is available on certain vehicle groups for an added cost. This product is not available to Luxury and Prestige vehicles.
- Reduction of damage liability from QAR 1000 to QAR 250 (economy to standard cars only):
- QAR 15.00 per day, 1-to-3-day hires
- QAR 11.50 per day 4-to-14-day hires
- QAR 10.75 per day 15 days or longer.
- Reduction of damage liability from QAR 1500 to QAR 250 (full size & vans):
- QAR 20.00 per day, 1-to-3-day hires
- QAR 16.50 per day. 4-to-14-day hires
- QAR 14.00 per day , 15 days or longer
- Glass and tyre cover (economy to full size cars and vans):
- QAR 10.00 per day. 1-to-3-day hires
- QAR 8.50 per day 4-to-14-day hires
- QAR 7.00 per day, 15 days or longer.
Damage Liability waiver may be withdrawn at any time (for example, due to extreme weather conditions) at the discretion of Gulfcar management.
- Off Road Driving and Desert Use
Some Gulfcar vehicles are capable to be used off road and use in the desert, however the use of the vehicles under those circumstances is strictly prohibited when renting a vehicle booked through this website (or any other website advertising the Gulfcar brand name), any third-party website or in person at the branch and, will render insurance cover invalid.
- Tow bars use.
Some Gulfcar vehicles are fitted with tow bars however use of these tow bars is strictly prohibited when renting a vehicle booked through this website (or any other website advertising the Gulfcar brand name) any third-party website or in person at the branch and will render insurance cover invalid.
Please read our motor insurance and damage protection programme explained on the vehicle rental agreement link, section 8.
- Fuel Policy
All vehicles are supplied with a full tank of fuel at the start of the hire. Customers may return the vehicle part full and be charged for missing fuel at the end of the rental at the locally determined price. Please note a surcharge will be applied for this facility.
- Payment
Payment is required by credit card or debit card. Cash and cheque are also accepted but supported by the credit card details.
Third parties may prepay for a rental online, but the credit or debit card presented at the start of the hire must always be in the name of the main driver/renter.
Vouchers in general, cannot be transferred, i.e., the person named on the voucher as the hirer must be the person who drives the vehicle.
Exceptionally, the third-party may be able to transfer the voucher if a valid reason is presented. The transfer request must be in writing, by email, with copy of personal ID attached.
Third parties paying for the rental at pick up (or added rental charges in the event of a pre-payment) are not acceptable. The main renter must be the payee for all rental charges and extras, unless is a transferred voucher and the main renter shall be only responsible for the extra days, or any other charges incurred during the rental. The method of payment (cheques or bank cards) must be on main renters’ name.
- Overseas use
Overseas travel is unavailable.
- Driving Licences & history.
Anyone driving the Gulfcar vehicle must present a valid driving licence, in person, at the time of collection. No copies of licences will be accepted.
On collection of the vehicle, renter must produce a valid driving licence – we cannot accept an expired photocard.
Drivers must have held a full driving licence for at least 12 months.
Drivers must be aged 21 to drive/rent up to full size vehicles; twenty-five or over to drive/rent prestige or luxury vehicles.
- Identification required if Qatar Resident.
If you cannot fulfil the stated ID requirements, please contact the renting location prior to booking to discuss options.
When collecting the vehicle, the Lead Driver must present.
- a valid driving licence.
- QID (Qatar National Identification Card / residence permit)
- a credit or debit card on their own name (see section on Rental payment terms for further details).
- additional drivers must present a valid driving licence – we cannot accept an expired photocard – plus passport or national identity card.
- please contact the location prior to hiring if you have any questions regarding identification required.
- Identity Verification: In order to manage our insurance risk and combat fraud we may conduct a search and check on the personal details you have provided using identify verification services provided by government institutions in Qatar.
- Identification required if non-Qatar Resident.

When collecting the vehicle, the Lead Driver must present:
- Passport that was used to enter Qatar.
- A credit / Debit card in their own name (please note debit cards are not accepted for deposit).
- A valid driving licence from country of residence (licence must show an English translation).
- International driving license issued by the country that issued the main driving license.
- Travel documentation confirming dates of arrival and departure to/from Qatar.
- Additional drivers must also present a valid driving licence from country of residence plus the international driving permit (licence must show an English translation if not issued in Qatar).
When you book online you accept the conditions set out below:
The Gulfcar location will do its best to have the vehicle which is the subject of a confirmed reservation available on the day and at the time you have requested. If you decide to cancel your reservation or do not arrive to collect your reserved vehicle on the day and at the time you have reserved it, charges may be made, and these are explained in these Rental terms.
Please read this carefully. If there is anything you do not understand or do not agree with, please ask any member of staff at your Gulfcar location.
By booking online and accepting these Terms & Conditions you consent to Gulfcar applying charges to your credit or debit card account. Your initial rental charges are paid for at the time of booking. You will not be required to make the excess deposit payment or pay for any possible additional rental costs until you collect your vehicle. Gulfcar guarantees to have the vehicle you reserve or a higher classed vehicle available at the time and date you request.
Should you book and prepay online you must present your prepaid voucher in exchange for the hire.
When you collect your rental vehicle, you will be required to present a credit or debit card at the Gulfcar location, which will be charged as follows:
Your credit or debit card (Mastercard, Visa) will be debited for the rental charges and any additional charges agreed to plus a further deposit amount of:
Rentals up to 14 days
- Economy to Standard -1000 QAR
- Full Size, MPVs, Minibuses, pickups, and panel vans 1500 QAR
- Luxury, and Prestige vehicles – 2500 QAR
Rentals up to21 days.
- Economy to Standard – 1500 QAR
- Full Size, MPVs, Minibuses pickups, and panel vans 2000 QAR
- Luxury and Prestige vehicles – 3500 QAR
Rentals 21 days plus and monthly rentals
- Economy to Standard – Same as monthly rate for the category.
- Full Size, MPVs, Minibuses, pickups, and panel vans – Same as monthly rate for the category.
- Luxury and Prestige vehicles – Same as monthly rate for the category.
When you return the vehicle at the end of the hire period, the total additional charges, including any charges for fuel, damage, etc, will be calculated and any overpayment must be settles immediately.
The refundable deposit will be retained for 1 month, waiting for clearance from Traffic department or concerning any other pending charges such as damage assessments previously agreed.
The refund will be done to the same payment method used.
- Early returns and Extensions
In the event that you return the vehicle earlier than the date originally specified on the voucher, no refund will be made.
If you wish to return the vehicle after the time originally specified, you should contact the branch to agree this. You will be charged for every day or part-day you have the vehicle after the original agreed date and time at the rate specified on the rental agreement when you collect the vehicle.
The extra day charges will be at same rate of the prepaid booking.
- Rental period
You will have the vehicle for the rental period shown in your Reservation Confirmation. If you do not bring the vehicle back on time, or if you do not contact us and get our agreement to an extension of your rental, you are breaking the conditions of this agreement. We can charge you for every day or part-day you have the vehicle after you should have returned it to us. Until we get the vehicle back, we will charge you the daily rate used as standard at the counter at the time of default, for the vehicle used. If a free upgrade was given, the rate charged will be the one for the vehicle effectively being driven.
- Customer Service

The Query or Complaint will be investigated by the Customer Service team and where possible , a decision reached. Further information may be required from you to enable the decision-making process.
A decision will be communicated to you within five working days
If no resolution can be reached you are entitled to refer your complaint to the conciliation service managed CPD.
- Rental agreement
When collecting your vehicle, you will be asked to sign a Rental Agreement.
